The 2021 SoWa Farmers Market will adhere to all city and state covid protocols. Please be aware that the status of these regulations is subject to change at any time and vendors are responsible for reading email updates and knowing and adhering to all rules and regulations. In May 2021, this includes but is not limited to the following:
All vendors and guests must wear a mask at all times
Social distancing will be enforced and vendors must regulate queues at their booths
Booth numbers will be limited and the Farmers and Arts markets will be combined
Guest capacity is limited (we’re estimating 120-150 customers at a time)
Sampling and food service are NOT currently allowed
Vendors are responsible for regularly disinfecting their booth and POS
You’ll receive a full list of the rules and regulations upon acceptance to the market.
Vendor Selection & Deadlines:
We will jury all applications submitted before February 28. After February 28, all applications will be approved on a first come, first served basis depending on availability and product mix.
This application is for Vendor submission only and does NOT guarantee admission. Vendor selection is at the sole discretion of SoWa Boston and is based on a number of factors including: product mix, quality, pricing, creativity, and visual appeal. Please be sure to provide a complete and accurate description of ALL products you wish to sell, as well as a link to your website or social media page.
It is our goal to create a diverse farmers market featuring the best locally sourced products and specialty goods. We welcome local farms, specialty food vendors, kitchen goods, food services, and farm wineries or cider houses.
Rates & Payments:
In 2021, there are 27 Market dates between May 2 and October 31. You may apply for the following options:
Weekly - $30 / day
10' x 10' space - select as many dates as you'd like (minimum of 6 dates). First market date payment due upon approval and subsequent payments are due two weeks before each market date.
Farms (produce only) - No Cost
Farms growing and selling uncut fruits & vegetables may select dates at no cost.
Payments should be submitted via our payment page. If payments are not received when due, SoWa Boston reserves the right to revoke your approval and remove you from the schedule.
Cancellations & Refunds:
SoWa Boston must be notified of any cancellations at least 14 days prior to your Market date in order for you to receive a credit for a future date (pending availability). No refunds will be issued. Cancellations due to an emergency will be handled on a case-by-case basis.
Multiple late payments, no-shows or late cancellations will prompt the vendor to be moved to the waitlist. If a vendor is moved to the waitlist, the vendor gives up their reserved dates at the market and may only participate if we contact you with last-minute openings in the schedule.
The SoWa Open Market is a "rain or shine" market. Weather closures will be at the sole discretion of SoWa Boston. We will be reasonable in our determination, but please keep in mind that the weather changes quickly in New England. As such, it is unusual that we will cancel a Market date unless the forecast predicts 100% rain within 24 hours of the start time. If the Market is closed due to inclement weather or runs less than two hours, you will be credited for a future market date.
Set-Up and Take-Down:
SoWa Boston, at their sole discretion, will determine weekly booth assignments in a fair and equitable manner based on the needs of the market, product mix, and vendor commitment.
All Vendors must be set-up and ready to open by 10:30 AM, and must vacate the market area within one hour after the Market closes. Any Vendor arriving after 10:30 AM without previous permission will forfeit participation for that day’s Market without refund.
Upon arrival, please check in with a SoWa Boston staff member and we will direct you to your assigned space. Vendors should unload and remove their vehicle from the market area BEFORE setting up their tent and displays. We attempt to get vendors as close to their space as possible to unload, but depending on booth assignments, Vendors may need to carry their products some distance, and are encouraged to prepare accordingly (i.e. pack a dolly or hand-cart). We cannot change booth assignments once they are set, so if you have any special requirements or requests, please let us know at least one week in advance.
Any Vendor that is running late MUST notify us. Vendors may not leave the Market early unless given permission by the Market manager. All Vendors are responsible for cleaning their surrounding area at the close of the Market, including removal of all trash and debris.
Tents & Equipment:
All Vendors must supply their own 10' x 10' white tent and all necessary displays, signs, tables, extension cords, and other equipment. All tents must be secured with 40 pound weight bags on EACH tent leg (160 pounds total). The Market can get very windy at times, so for safety purposes any vendors without proper weights will be asked to remove their tent and/or vacate the market. We have a limited number of electric outlets available, so please indicate your need for power on the application only if absolutely necessary.
Please note: We do not have Wi-Fi or storage available. All generators, open-flame devices, flammable substances, and other hazardous materials are strictly prohibited.
Sharing booths with another Vendor is not allowed unless permission is granted by SoWa Boston.
Permits & Health Regulations:
Boston's Inspectional Services Department (ISD) requires that all food vendors obtain a valid permit. If you are conditionally approved to participate in the Market, you will be required to fill out a Farmer's Market Application and mail it back to SoWa Boston along with the $100 annual fee made payable to the City of Boston. This fee is paid once per Farmer's Market season, regardless of how many dates you select. We will then review the application to ensure compliance and submit it to ISD on your behalf. Do not submit this application directly to ISD. At the start of the season, and periodically thereafter, ISD will conduct on-site inspections and issue your Health Permit.
Licensed Farm Wineries will be required to fill out MDAR and Farm Winery Applications and mail them back to SoWa Boston along with the $50 License fee made payable to the City of Boston. We will then review the applications to ensure accuracy and submit to MDAR, BPD, and the Boston Licensing Board on your behalf. Do not submit applications directly to any of these departments.
In order to participate all Vendors must at all times comply with the ISD’s Farmer's Market Regulations regarding sampling, packaging, labeling, handling, and food safety.
Taxes & Other Regulations:
Any vendor selling goods in Massachusetts is required to have a Tax ID Number. This is required for both in-state and out-of-state vendors. If you do not have a Tax ID certificate, you may obtain one online via the MA Department of Revenue. There is no cost, and it only take a few minutes to complete.
It is the Vendor's responsibility to ensure they and their employees are at all times in compliance with any Federal, State and Local regulations, tax laws, and health protocols.
Upon submitting this application, Vendors agree to indemnify and hold harmless SOWA SOUTH LLC, SOWA NORTH LLC, GTI PROPERTIES INC, and their officers, agents and employees from and against all liabilities, loss, injuries, damages, and claims arising out of or related in any way to Vendor's participation in the SoWa Open Market.
Market Management & Vendor Conduct:
SoWa Boston reserves the right to remove, deny or terminate any Vendor that in their sole judgement is being disruptive, rude, or detrimental to the peaceful operation of the Market.
Smoking by Vendors on the Market premises is strictly prohibited.
SoWa Boston reserves the right to request the removal of any products or items that they deem offensive, inappropriate, unsafe, or detracting from the quality of the Market.
SoWa Boston reserves the right to remove, deny, or terminate any Vendor that misrepresents themselves or their products.
Vendors should immediately report any unsafe conditions to the Market manager. Any Vendor notified of any safety issue must immediately correct the issue, otherwise SoWa Boston reserves the right to terminate their participation in the Market.
Any Vendor that is removed for behavior or safety issues will NOT be issued a refund.
SoWa Boston reserves the right to add or amend any reasonable rules and regulations at any time during and prior to the operation of the Market.
